Job Type: Part-Time, Independent Contractor
Compensation: $25/hr
Schedule: 15 - 20 hours per week, M-F
Start Date: Late October, 2025
Reports to: Jenna Tighe, Managing Director for Caverly Morgan
We are seeking someone to join our team who is passionate about strategic workflow and community support, and enjoys being responsive to emergent needs and possibilities. SKILLSET
As Business Operations Coordinator (BOC), your purpose is to ensure our programs and events run smoothly while supporting the growth of our mission-driven work. You will bring projects to life through compassionate self-awareness, effective systems and technology, attentive event and retreat coordination, and responsive team collaboration.
The ideal BOC brings strong technical skills, project management expertise, and collaborative interpersonal abilities, taking ownership of program logistics, streamlining workflows, and leveraging organizational technologies to support the team and advance our mission
SCOPE OF WORK
While specific tasks will vary week to week, we anticipate the general breakdown being:
Business Operations: 55%
Community Engagement and Communications: 25%
Systems Management: 10%
Other duties as assigned: 10%
POSITION REQUIREMENTS
We are looking for someone who:
Has a minimum of three years administrative experience.
Demonstrates self-awareness in terms of understanding their own culture, identity, biases, prejudices, power, privilege, and stereotypes.
Has a combination of life or work experience and/or training in anti-racism and equity work.
Has demonstrated excellent customer service and communication skills.
Brings strong computer skills, with proficiency in Google Suite, MailChimp, Social Media platforms (Instagram, Facebook, YouTube), and database programs.
Can do quality work and meet deadlines with efficiency, consistency and reliability.
Excels at managing multiple projects, thoughtfully meeting deadlines and facilitating efficient solutions.
Is a self-starter, able to work independently and be an accountable part of a team. Also enjoys direct communication, fast-paced work and managing multiple projects simultaneously.
We strongly prefer someone who:
Has experience with Mighty Networks and Substack.
Is tech-savvy and comfortable with existing and emerging technologies
Has demonstrated experience building and strengthening community engagement.
Has experience generating compelling, on-brand copy for newsletters, social media and other marketing platforms.
Has an interest in mindfulness/meditation practices.
Is familiar with nonduality practices and teachings.
Has a strong passion for the vision of liberation for all.
CORE RESPONSIBILITIES
Business Operations
Own and oversee event logistics from planning through completion. This includes designing and managing workflows and timelines, anticipating risks and addressing challenges proactively, coordinating travel and accommodations, creating detailed portal-to-portal itineraries, managing vendor relationships and contracts, setting up virtual platforms (e.g., Zoom), and ensuring all preparatory notes, resources, and links are organized and accessible for the team and participants.
Schedule meetings and events; manage CM and organizational calendars through Google Suite.
Set-up CM out of office replies; maintain up-to-date email signatures across the organization.
Build google forms for events, retreats and courses (e.g., pre-program information, scholarship applications, rideshares, feedback/testimonials, contact shares) as well as registrant travel guidance for in-person events.
Procure office supplies and equipment; maintain book inventory and sales.
Tend to emergent tasks to support organizational workflow and growth.
Support Managing Director in codifying organizational knowledge and procedures by developing Standard Operating Procedures (SOPs).
Provide other general assistance and support to CM, Managing Director and Digital Media Manager.
Community Engagement and Communications
Serve as primary admin support for Tuesday Sits, Seasonal Meditation Gatherings, and other ongoing programming.
Manage assist/hello@ inboxes. This encompasses answering website submissions, general inquiries and questions about core programs, in a timely manner.
Create advanced preparatory materials for speaking engagements and events. Provide CM and Managing Director with initial research and links; add key notes to calendar.
Provide teaching partners/venues with required contract materials. This may entail: applications, W-9, payment methods, bios, headshots, write-up, and title.
Maintain Teaching Topics spreadsheet.
Research podcast and teaching opportunities, and additional ways to get CM teachings out in the world. At times this may involve nurturing key relationships on behalf of CMLLC.
Proof social media posts and newsletters as needed. (Opportunities to write additional newsletters if desired.)
Manage contacts and email lists: import and tag contacts, and build specialized and early notification lists.
Provide regular website functionality audits.
Cue up Digital Media Manager and Managing Director for timely website and LinkTree updates, social media posts and promotional newsletters.
Systems Management
Manage Google Suites and Momence and other key platforms for the organization.
Manage contact and programming management databases.
Oversee our shared drive, ensuring all files and resources are organized, current, and easily accessible. Develop and implement efficient folder structures, naming conventions, and documentation standards, continuously identifying opportunities to streamline workflows and improve team-wide information management processes.
Support Managing Director in effective workflow systems and solutions.
Advise team in technology capacity building and innovation.
Team Collaboration and Leadership
Bring the organizational mission, vision and strategic plan to life through core areas of responsibilities.
Provide support to other team members, as well as be supported by team members.
Perform other duties as assigned to support the health and growth of the organization and its community.
